A skills inventory is the dated, per-person record of which skills each employee holds, at what proficiency level, on what evidence.

What It Is

A skills inventory is a structured record, one entry per employee, listing the skills that person holds, the assessed proficiency level for each, the method and date of assessment, and any supporting evidence such as a certification or a supervised sign-off. It is organized around the person, which distinguishes it from a skills matrix (organized around a team) and a skills database (organized around the organization). The inventory is the source the other two are built from: a matrix is a view of several inventories against a role's requirements, and a database is the queryable store of all of them over time. An inventory is only as useful as it is current. Because skills decay and roles change, each entry needs a reassessment date, and the inventory needs an owner responsible for keeping it accurate.

How SkillsDB Models It

In SkillsDB the inventory is the set of person-to-skill records, one per person per skill, whether the skill arrived through a Career or was added as an Additional Skill from the Skills Library. Each record holds three grades on the organization's 0 (N/A) to 5 scale, Employee, Manager, and Benchmark, and, where the career tracks training dates, a training date with its expiration status. A Payroll Specialist's record for Multi-State Tax Filing might read Employee 3, Manager 4, Benchmark 3, trained March 2026, Valid; the specialist sees exactly that row on their Skills page, and the manager sees it again on the team view and, for the whole population, on the skill detail page's Proficiency tab. Search reads the same records, so a resource planner can filter People by a skill, a minimum grade, an Expert flag, or a certification, within whatever scope their Search Permissions allow.
